Google Activity Widget within Assignments

 

After the administrator has completed the setup of the Google Drive integration and Google ID within the Users application, teachers can now assign Google documents as an activity using the Google Activity widget.

 

How to

 

Create a new assignment by one of the following methods:

  • From the Frog Bar select the b;ue + symbol and then click on the New Assignment button.
  • From the Timeline select the New Assignment button.
  • Launch the Assignment Manager application and click on the New Assignment button.

 

The New Assignment wizard will open and you will need to go through and complete the Details section ahead of proceeding to the Activities section.

Within the Activities section you will have the choice of the usual tasks (Basic Code Activity, Other Activity, File Drop, Quiz and Text Activity) as well as the new Google Activity widget.

A warning message will be displayed listing any students assigned to receive the homework but have not had a Google ID entered. 

 

NOTE – Please refer to the section Google Activity Widget Pre-Requisites for more information on how to set a Google ID.

Within the message a list of options is also displayed advising of next steps. These include:

  • Retry – Contact your Frog Coordinator and ask them to update the user accounts with their Google ID.  If they can do this straight away, you can hit retry to continue.
  • Continue – The recipients that are listed above will not be able to complete this activity in Frog.  You will be able to give them a mark fi they complete the work in another way, but you may want to mark a note of their names.
  • Cancel – Return to the Assignment Wizard without sending the assignment.  

 

It is recommended that you follow up with your administrator, to have the Google ID’s entered for the missing students, ensuring that in future you can successfully assign Google Activities. 

 

In this example we are going to note the users that don’t have a Google ID and select the Continue button.

After selecting the Google Activity widget, you will be asked to select a Google Document.  Click on the FrogDrive button.

FrogDrive pop up window will display the Documents and Google Drive areas.  Only Google file types will appear within the Documents area, whereas within the Google Drive area any non-Google document will be greyed out.

 

In this example, we are going to select a Google document from within Google Drive > My Drive.  Select the document you wish to embed in your site and then click on the Use button.

 

NOTE – Some Google documents may not be used when assigning homework for the following reasons:

  • Google Forms – This type of Google document cannot be used with the Google Activity widget.  Should a Google Form be selected the Use button will be greyed out not allowing you to proceed with next steps.
  • Documents that are greyed out, in particular those appearing under Google Drive > Shared with Me, cannot be used with the Google Activity widget.  This is due to the sharing permissions that the document owner has set.  Therefore, you will need to speak to the owner of the Google document that has been shared and request edit access to the document.

You will be navigated back to the Assignment wizard and the selected Google document name is displayed in the Name field.

The next step is to decide how the assignment is to be worked on.  The options include:

  • Everyone collaborates – The Google document will be shared with edit access to all students assigned.  This means that a group of students can work collaboratively on a Google document for submission.  Please be aware though, in this type of scenario one student could overwrite another student’s input as all students will have edit access.
  • Everyone gets their own copy – A copy of the Google document will be created for each student assigned the piece of homework to work on individually. 

 

NOTE – It is recommended that if you are to assign a Google document for collaboration that a copy of the Google document is created for each assignment.  The reasoning for this is that all students assigned will be granted edit access and therefore the original document will not be retained. 

 

In this example we are going to select the option Everyone gets their own copy.

There are a few other additional options that you may wish to configure for the Google Activity widget that include:

  • Please enter activity details - Provide any additional information about the Google Activity to assist the students.
  • Height – The height in pixels that the Google document is to be displayed.  The default value will be set to 600.
  • Success Criteria – This option is only applicable to schools that have the FrogFeedback module enabled. For more information on FrogFeedback please contact the Frog Sales Team on sales@frogeducation.com
  • Remove Activity – Select this button should you wish to remove the Google Activity from the activities list for the assignment.

When happy with the details entered proceed to the Resources and Evaluation section or select the Assign button to issue the homework to the associated students.

 

In this example we are going to select the Assign button.

The Google Activity in the background will perform the necessary tasks to create / share the selected Google document with the students assigned.  As the FrogLearn platform is working in conjunction with Google this process could take slightly longer, especially where the option to create an individual copy is selected.

When the creation of the assignment has completed a notification is displayed and the assignment is now available to students.
